Tutorial - How to Edit & Create Email Templates

Blanchard Exchange has default email templates that are included with your account. Many of the emails are added based on the product you are implementing.

If you would like to change or edit the content of an email, including the subject line, you have two options.

Option 1: Edit the email when you send or schedule it

This option allows you to edit on the fly, creating a one-time change to an email template and customizing it for that specific group.

  1. From the home page click on the Projects tab and select your project.
  2. Put a check next to the names of the people you would like to email or select all by using the check box at the top.
  3. Click "Send Email..."
  4. Select the email template you would like to use.
  5. Edit the subject line and body of the email. IMPORTANT! - Use caution when editing any dynamic content such as ${accesslink} as these are used by the system to deliver login information to the participants.
  6. Click "Send Email".

Option 2: Creating new email templates

This option allows you to create customized email templates to use and re-use with multiple projects. The custom templates you create will be available for use by all Administrators who have access to your account.

  1. On your main account navigation, select the "Library" tab. (Figure 1-1)
  2. Select the Email Templates sub-option and select it.(Figure 1-2)
  3. Click on the template you would like to edit.
  4. Click "Copy to New" towards the top of the screen to create a copy of the template. Default templates cannot be edited, and must be copied to create a new customized version.
  5. Name your new template and modify/add a description.
  6. Click "Save email template" and this will create your new template.
  7. To edit your new template select it and select the option listed as "Edit Email" towards the top of the screen.
  8. Edit the subject line and body of the email. IMPORTANT! - Use caution when editing any dynamic content such as ${accesslink} as these are used by the system to deliver login information to the participants.
  9. Click "Save Email".

Your new template will now appear in the drop down menu when sending communications to your participants under a section labeled as "Custom templates".
